Employment Data


Employment Data is used by the authorized user to see the employment data. To access this menu, click the employee number provided in Employee Information and click icon employment data to open Employment Data of the employee, then the following page will appear. 


Employment data consists of Employment Info, Company Group, Career Transition , Awards , Disciplinary , Service Agreement , Leave, OHSA History, Letter, Custom Field, and Employee Checklist.


Employment Info


Employment Info shows detailed information about your current position in the company. To display Employment Info, click Employment Info tab. The following page will appear.

This information consists of employment status, current position, job status, job grade, work location, and many more. To input the data, go to Career | Career Transition . Employment info shown is according to employee’s current position.

Company Group


User can see the employee information regarding to the circumstance in the company by clicking Company Group tab, then the following page will appear.

In this tab, the authorized user can view and manage the data of company group such as join date, permanent date, pension date, termination date, and others.

  1. Join Group: The effective date when the employee joined the company.
  2. Permanent Date: The date the employee becomes permanent employee in the company. Input the permanent date in Career > Career Transition .
  3. Full Join Date: The date on which the employee is totally employed in the company. For example, employee is accepted by the company on June 4, 2012 with the status of probation for 6 months. After 6 months, on December 4, 2012 employee fully joins in the company. Determine the date by using the calendar icon and choose the date.
  4. Pre-pension Date: Input it by clicking the calendar icon and choose the date.
  5. Labor Supplier: Information about outsourcing company. Fill this box only if the employee enters the company through outsourcing company.
  6. Termination Date: Employee’s end of working date in the company. Determine the date, the reason, and the reason note of the termination in Career > Career Transition .
  7. Eligible For Rehire: Tick “Yes” if the employee is available for rehire.
  8. Pay Through Date: Input the date for paying all employee’s unfinished payments in the last payroll. The system will automatically adjust the date with the payment date in Payroll menu.

 

Career Transition


Career Transition is used by the authorized user to see the information of career transition, that has been done by the employee in the company, which is recorded in Career transition that can be accessed in Career Administration > Career Transition. 

 
In this tab, the user can see the list of information of career transition that has ever been done by the employee. 

Awards


Awards functions is used by the authorized user to see the awards accepted by the employee. The authorized user can create the Awards in Awards in Career Administration > Awards. To see the awards information, click Awards tab then the following display will appear. 

 
 
In this tab, user can see awards detail by clicking the letter number link, then the user can see the detailed information of awards accepted by the employee. 

Discipline


Discipline is used by the authorized user to see the discipline that has been done by the employee. The authorized user can create the disciplines in Discipline in Career Administration > Disciplines. To see the information of disciplines, click Disciplines then the following display will appear.


In this tab, user can see disciplines detail by clicking the letter number link, then the user can see the detailed information of discipline that has been done by the employee along with the sanction given to the employee. 

Service Agreement


Service Agreement is used by the authorized user to see the information of service agreement scheduled for the employee. From this tab, user can see the information of Service Agreement Code, Start Date, End Date, and Description of the service agreement.  

 
 

In this tab, the authorized user is able to add and edit the data of service agreement.

Leave


Leave is used by the authorized user to show the information of all leaves of the employee. From this tab, user can see the information of Type of Leave, Start Date, End Date, Leave Quota, Used Leave, and the Remaining. To see the information of all leaves, click Leave tab then the following display will appear.


In this tab, the authorized user can see the leave detail by clicking Type of Leave. The type of leave in this tab can be set in Leave Setting.

 

OHSA History


This tab is used by the authorized user to show the information of OHSA, such as accident happened in business trip. From this tab, user can see the information of Incident Code, Date, Category, and Description. To see the information of OHSA, click OHSA History tab then the following display will appear.
 

In this tab, the authorized user can click the Incident Code link to see OHSA detail.
 

Letter


This tab displays the list of employee letter, such as career transition letter, warning letter, and the others. To see the list of letter, click Letter tab then the following display will appear.


 The displayed list of letter is the list of letter generated by the system such as career transition letter (joining company, mutation, promotion), award letter given to the employee, warning letter, and the others. In this tab, user can also see the letter detail as the letter template by clicking the letter number link.

 

Custom Field


This tab displays other information of employee. Information in this tab is the additional information but can also be formula component used in payroll, allowance, and deduction calculations.



In this tab, user can determine how many field that will be displayed, field name, and field configuration. User can also manage custom field in Setting > Employee > Custom Field Setting

 

Employee Checklist


Employee Checklist is used by the authorized user to observe and change the completeness information of items needed by the employee. The items in employee checklist can be added in Employee Checklist Setting.

 

In this tab, the authorized user can do the following actions.

  • Completed : User can select this checkbox if the item has been accepted from or given to the new employee.

  • Date : User can determine the date when the item has been accepted from or given to the new employee.

  • Remark : User can give the remark of item checklist process.

 

Then click  to save the changes of employee checklist information.
